Works independently, using own judgment and initiative to determine appropriate action in non:routine situations. Performs administrative and secretarial functions. Performs duties and responsibilities in manner consistent with our mission, values, and mercy standards. Coordination of Services: a. Responsibility for work flow and secretarial coverage. b. Handles differing situations and problems according to Directors general instructions, priorities, duties, policies and goals. c. Coordinates interaction on administrative needs with other Medical Center departments. Requisitions supplies, printing, maintenance and other office services. Primary Aspects: a. Assembles necessary background material for meetings and may take minutes. b. Reviews outgoing materials and correspondence according to established format. c. Types, takes, transcribes and distributes correspondence. d. May prepare and sign routine, non:technical correspondence with own name or managerA?s name. e. Screens and appropriately directs telephone calls, visitors and incoming correspondence. f. Answers questions and forward requests to be handled by director or other appropriate personnel. g. Schedules tentative appointments without prior clearance. h. Maintains director calendar. i. Arranges meetings and conferences. j. Maintains confidential records and files and handles confidential correspondence. k. Handles confidential projects, reports and communications, including assistance with budget development and variance reporting. l. Assists with departmental or special projects as needed. m. Participates as a team member with department wide events/programs. n. Peruses paperwork pertaining to ID badges and makes badges for all Mercy employees Communication Management: a. Keeps Manager/Director informed of problem situations. b. Answers questions appropriately and diplomatically. c. Demonstrates effective communication skills to facilitate workflow. Technology: a. Demonstrates competence and understanding of hospital computer system. b. Facilitates computer support. c. Demonstrates proficient ability in retrieving information/resources utilizing computer software/internet. d. Maintains knowledge base in regards to monthly reporting activities and deadlines. e. Assists Manager/Director with administrative projects requiring audio:visual computer assistance (i.e. slides, overheads, etc.). To achieve our goals, we need all the parts functioning at their best and this requires the specific qualifications that youA?ll bring with you: Education: High school diploma or equivalent. Experience: Minimum of one year previous executive secretarial experience required. Other: Types 60:65 wpm. Requires working knowledge of word processing and other computer programs, e.g. PowerPoint and Excel. Strong communication skills and sound judgment capabilities, including the use of diplomacy, required. Maintains a close and highly responsive relationship to the day:to:day activities of the Director.
